What will you be doing?
MoLo Solutions is seeking an Office Manager to oversee our headquarters in Chicago! The Office Manager maintains office services by organizing, documenting, and executing all office operations and procedures. This position is responsible for the efficient operation of the office by ensuring all necessary supplies and equipment are available to employees. This position also provides general administrative support to MoLo Chicago employees and serves as initial point of contact for visitors. As the first point of contact for the Chicago office, the Office Manager is expected to provide a high level of customer service to all employees, visitors, and vendors.
Daily tasks include but are not limited to:
- Maintain office supplies including monitoring inventories, placing orders, and establishing vendor accounts.
- Receive incoming mail/package delivers as well as assist with outgoing mail/packages
- Manage the issuance and deactivation of employee keycards for onboarding, offboarding, and replacements, coordinating with building management and MoLo IT as necessary.
- Coordinate onsite visitors including visitor communication, notifying building management, and arranging temporary building access.
- Manage onsite parking agreements including monitoring the waitlist, informing employees of availability, arranging permits, keeping records and documentation up to date, and enforcing parking policies.
- Own vendor relationships with suppliers, coordinate recurring and ad hoc services and/or maintenance requests, and place office food orders as necessary.
- Ensure workstations and general office environment remain clean and in compliance with any federal, state, or local regulations.
- Facilitate onsite tech support by troubleshooting common issues and assist with workstation setup, coordinating with the IT team located in Chicago as necessary.
- Plan and execute office/company-wide events.
Requirements
What we're looking for:
- 1-2 years of experience as an office manager, receptionist, executive assistant, or administrative position.
- Ability to work as an individual in a fast-paced, collaborative, and results-driven environment
- Proven organizational skills and attention to detail with the ability to handle multiple tasks at once
- Strong communication and interpersonal skills, both written and verbal
- Ability to lift up to 30 lbs.
