Workplace Experience Coordinator
We are looking for a highly motivated Workplace Experience Coordinator for our Chicago office to support the Workplace Experience team with the day to day operations of our office. This is the ideal position for an energetic and highly motivated person who loves helping others, organization and making an office the best workplace possible. You enjoy wearing multiple hats and strive to deeply understand how to prioritize projects and manage your time accordingly. You are proactive and resourceful, can step into any situation with a solutions-oriented perspective, and love learning. Qualifications
These are the minimum qualifications that our hiring team is looking for in this role:
- Ability to be onsite in our Chicago office full time: 8:30 a.m. - 4:30 p.m., five days a week
- Must be able to lift up to 50 pounds
Additionally, these are the preferred qualifications that would indicate a particularly strong candidate:
- Prior experience with customer service and/or office administration
- Ability to demonstrate strong attention to detail, time management and organizational skills
Within 1 month, you will...
- Complete Sprout's New Hire training program alongside other new Sprout team members. You'll gain a broader understanding of our product and how your role fits into the organization.
- Meet with team members from the Workplace Experience team to understand day to day needs in the office
- Meet with team members from the Support, IT, People, Success and Sales Development teams as you will be collaborating with them closely
- Learn to manage reception - greet guests, handle paper mail and answer general inquiries in person, email and via phone.
- Be introduced to building management to understand proper office security protocol
- Learn to use our internal service desk system, and fulfill mailing and other office support requests
- Manage mailroom parcel volume and capacity
- Get to know our current vendors and be second in line to support our team making sure the office is stocked with food, beverages, office supplies, PPE, etc.
- Lead the Workplace Experience team assignments for recognition weekly
Within 3 months, you will...
- Help provide support for employees for additional office reopening phases
- Review documentation as it pertains to your role and ensure to make any changes needed on a quarterly basis
- Support the Workplace Experience Specialist with onboarding and offboarding tasks as needed
- Co-host onboarding sessions with the Workplace Experience Specialist
- Understand as much as you can about the culture, products, teams, and projects of Sprout to creatively support our award winning culture
- Support with mail, key cards processes, guest registration, faxes and on-site event support as needed based on our different office reopening protocols
Within 6 months, you will...
- Continue to support our phased approach to office reopening
- Use data and your own instincts to identify inefficiencies and innovate / improve your support to the Chicago team
- Continue to develop key relationships with employees in Chicago and act as a champion of our culture
- Coordinate and lead Fire Life Safety drills and train team members on responsibilities during those events
- Manage lost and found items on a bi-annual basis
Within 12 months, you will...
- Be completely at home managing day to day operations in Chicago with a deep understanding of the team's needs.
- Surprise us! Use your unique ideas and abilities to change Sprout Chicago in beneficial ways that we haven't even considered yet.
Of course what is outlined above is the ideal timeline and responsibilities, but things may shift based on business needs and other projects and tasks could be added at the discretion of your manager.
