The Product Support Associate provides effective coordination, planning, research, marketing, procurement, communications, and administrative support to assigned committees/groups/department/program.

ESSENTIAL FUNCTIONS

  • Assists in the daily execution of an assigned section or special interest group. Provides staff support to program, section and/or special interest group. Requires a broad range of administrative, editorial and/or basic research skills.
  • Monitors and procures office supplies to ensure sufficient levels and stays within budgeted expense limits.  Coordinates arrangements for Video conferences between staff and internal/external customers. Composes, types, and distributes meeting notes, routine correspondence, and reports.  Serves as the liaison to external printing providers as requested.
  • Serves as the primary point of contact for program related questions and activities for both internal and external customers. Monitoring of general program mailbox. Forwarding/distribution of phone calls and emails to the appropriate staff and communicating with other SAE ITC Programs, departments, and with external contacts as necessary.
  • Maintains P-card account and/or processing invoices for office supplies or other purchases. Review invoices for accuracy and initiate purchase requisitions. Stay within budgeted expense limits for office supplies or other purchases. Working knowledge of and ability to accurately enter data into customer and financial management databases.
  • Prepares form letters, simple memos, emails, labels, routine correspondence, etc. Types, copies and /or distributes reports, proposals, presentations, etc. through multiple channels, mail, website, social media, etc. Proofreads for spelling & grammar. Enters information into spreadsheets and databases. Runs standard reports as assigned. Apply domain knowledge of software and IT systems as applicable for program administration and support.

MINIMUM REQUIREMENTS

  • Associate’s degree in business or related field
  • 2+ years of office administration, secretarial, or equivalent.
  • Very strong communication, interpersonal, and organizational skills
  • Ability to function with little supervision
  • Ability to continually prioritize workload issues when customer needs/requests are diverse and demanding
  • Maintaining confidential and legal information
  • Ability to coordinate multiple projects (multi-task) simultaneously during peak workload periods and when necessary
  • Experience entering and maintaining information in databases, software and IT systems for program administration and support

PREFERRED QUALIFICATIONS

  • Accounting, bookkeeping, business, standards/best practices, and document editing background
  • Ability to apply domain knowledge of software and IT systems as applicable for program administration and support

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

  • Standard business hours with flexibility for global meetings
  • Remote office with reliable, secure internet connection and proper ergonomic setup
  • Frequent virtual meetings; occasional travel (up to 20%) for technical conferences or committee sessions
  • Must maintain a confidential and secure workspace and comply with company data security policies
