Job Description

The Project Coordinator provides project management and accounts support across assigned project teams. This individual is primarily responsible for improving the efficiency of internal project core teams by providing administrative assistance, performing basic project management tasks, and managing and troubleshooting project management systems. The goal for this individual is to progress quickly into a position of Project Manager, with independent ownership of project management responsibilities for an assigned client account.

Job Duties

Project Planning and Tracking

  • Open new projects in management system and set up new project templates on server
  • Assist with development and updating of project plans and timelines
  • Assist with development and maintenance of weekly and daily internal and client status reports
  • Route documents and next-step directions to team in a timely manner
  • Communicate progress of project deliverables and assist in problem-solving to meet deadlines
  • Assist in maintaining electronic filing system and records for all projects
  • Assist in managing and executing upload of projects into client electronic review and approval system
  • Various additional administrative tasks

Financial Management and Tracking

  • Enter and maintain project budgets and billing schedules in company financial system
  • Evaluate project progress against contracted billing schedules and initiate AR invoice requests
  • Assist in monitoring project status and notify Account Services of budget risks or out-of-scope financial impacts
  • Perform budget reconciliations at the completion of all projects
  • Run reports, assist with various aspects of data entry as requested

Account Management Support

  • Support the Account Services team in delivering any and all project-related updates to the client, including but not limited to financial, timeline, and client status review/updates
  • In coordination with the Account Services team, ensure that all client requests receive timely responses and are initiated with the team, completed, and delivered to the client in a timely manner

Quality and Risk Control

  • Ensure that all quality control measures (eg, editorial review, graphics review) are completed
  • Initiate and maintain electronic files for all projects
  • Assume responsibility for file management to maintain version control throughout project lifecycle

Qualifications

Requirements

  • Bachelor's degree

Preferred Skills/Experience

  • Previous work experience requiring multitasking and organizational skills
  • Familiarity with marketing communications agency workflow process
  • Agency experience (digital a plus)

Working Conditions

  • Ability to commit to extra and/or nontraditional hours as client needs require
