Systematics is a family-owned and operated small business in Itasca, IL.  We design and produce retail marketing solutions such as displays, signage, fixtures, kiosks, etc. We provide full service custom fabrication and printing resources to the point of purchase trade. We have equipment and machinery to manufacture a variety of items from simple plaques or trophies to complex multi-material retail displays. Our knowledge, experience, and expertise, while focused on the POP trade, apply to a wider range of fabrication needs.  We are looking for a high-energy PROJECT COORDINATOR to provide support to our Business Development Team!  

The PROJECT COORDINATOR provides administrative support to the Sales team by coordinating and overseeing projects to ensure they are completed in a timely fashion, with high precision, quality, and within allocated budget.  

Essential Duties & Responsibilities include the following.  Other duties may be assigned.  

  • Coordinate, manage, and follow projects from inception of purchase order to completion of the job by gathering quote information, organizing details, creating task lists required for the project, determine material required and vendor assignment.  

  • Enter order in database and create client/project profile. 

  • Work with various departments for project cost, creating prototypes, production scheduling, logistics coordination. 

  • Track and manage project from beginning to completion of assignment. 

  • Ensure project schedule is maintained and updated as necessary. 

  • Coordinate communication/meetings with sales, production, engineering, purchasing. 

  • Review and approve or reject samples with Account Manager and provide feedback to engineer for accuracy and quality.  

  • Coordinate with Production Department on the scheduling of product manufacturing and expected completion date.  

  • Communicate to Logistics on completed product shipment including client preference mode of delivery, location(s), etc.  

  • Provide consistent and thorough updates to Account Manager on status of respective project(s).  

  • Create task list for each project received and tracker via MS Excel.  

  • Perform quality checks while product in manufacturing and on completed product to ensure it meets customers’ expectations.  

  • Maintain costing and track plus/minus. 

  • Ensure timelines are achieved for project completion according to customers’ expectations. 


Education and/or Experience 

  • Associates degree or above is a plus. 

  • Minimum of 2 years of project coordination experience required. 

  • At least 3 years of administrative duties experience strongly desired. 

  • Experience with MS Excel required and project management software ie., JobBOSS a plus. 

  • Knowledge and understanding of Adobe Illustrator and PDF required.  

  • Knowledge of plastics, woods, and printing highly preferred.

  • Organized, methodical and detailed-orientated. 

  • Effective communication skills – oral and written. 

  • Strong ability to multi-task and prioritize tasks/projects.  

  • Highly motivated, passionate, and self-starter
