Position Overview

Creative Dynamic is seeking a highly organized, proactive Project Manager to oversee the project lifecycle for creative, production, and post-production work across the company. This role will be responsible for managing project scope, schedules, milestones, deliverables, dependencies, stakeholder communication, and follow-through across internal teams and client-facing work.

The ideal candidate understands project management fundamentals and can bring structure to a fast-moving creative environment without slowing down the work. This person should be comfortable maintaining project plans, tracking risks and open issues, facilitating meetings, documenting action items, managing cross-functional communication, and ensuring project information remains accurate in company systems.

Key Responsibilities

Project Tracking & Workflow Management

  • Manage project timelines, project plans, task lists, milestones, dependencies, and deliverables across active creative, production, and post-production projects.
  • Track project status, open issues, blockers, risks, dependencies, and next steps to ensure work continues moving forward.
  • Maintain clear visibility into priorities, deadlines, project scope, ownership, and cross-functional responsibilities.
  • Support resource planning and workflow coordination by helping track team capacity, project assignments, and upcoming deadlines.
  • Maintain accurate project information in BigTime as the working source of truth.

Meetings, Notes & Follow-Up

  • Facilitate and attend internal project meetings, capturing clear, actionable notes, decisions, risks, open issues, and next steps.
  • Translate meetings, client feedback, and internal conversations into documented action items, deadlines, owners, dependencies, and follow-ups.
  • Maintain accountability by following up with team members on assigned tasks, upcoming deadlines, and unresolved blockers.
  • Proactively escalate delays, risks, scope changes, unclear ownership, or resource constraints before they impact project timelines or deliverables.

Cross-Functional & Client Coordination 

  • Drive cross-functional alignment across creative, post-production, production, finance, leadership, and client-facing teams to ensure project scope, priorities, timelines, and deliverables remain clear and actionable.
  • Serve as the central coordination point for assigned projects, ensuring stakeholders have accurate information, decisions are documented, dependencies are visible, and follow-ups are tracked through completion.
  • Lead project status communication by preparing updates for internal stakeholders and communicating directly with clients regarding timelines, deliverables, approvals, outstanding needs, and project risks.
  • Manage client-facing follow-up with professionalism and clarity, ensuring external communication is accurate, timely, and aligned with internal leadership direction.
  • Help standardize cross-functional project communication, status reporting, documentation, and handoff processes as the company continues to grow.

Systems & Process Support

  • Maintain accurate project data, timelines, milestones, deliverables, resource assignments, and status updates in BigTime.
  • Help establish BigTime as the company’s working source of truth for project tracking, resource planning, time tracking, and workflow visibility.
  • Evaluate current project management workflows and identify gaps in process, communication, documentation, accountability, and system usage.
  • Recommend and support process improvements that strengthen project intake, planning, status reporting, handoffs, change management, and project closeout.
  • Partner with leadership and department leads to refine workflows as the company scales and project volume increases.

Required Qualifications

  • 3+ years of project management, operations, production coordination, post-production coordination, or creative operations experience.
  • Strong understanding of project management fundamentals, including scope, schedule, milestones, deliverables, dependencies, risks, issues, and stakeholder communication.
  • Experience maintaining project plans, tracking action items, managing timelines, and coordinating cross-functional teams.
  • Familiarity with project management methodologies, tools, and documentation practices.

Preferred Qualifications

  • Experience in creative, media, production, post-production, agency, or entertainment environments.
  • Familiarity with post-production workflows, creative review processes, or production timelines.
  • Experience with BigTime, Smartsheet, Excel, or similar project/workflow systems.
  • Experience supporting cross-functional teams.
  • PMP, CAPM, Scrum, or other project management training/certification is a plus.
