Summary

The Project Specialist - Legal Support Transformation Workstream provides day to day project coordination across multiple active workstreams, supporting the successful execution of Administration and Legal Support Services transformation initiatives. Working in collaboration with and in support of Directors of Administration and the Sr Director of Operations, Administration & Legal Support Transformation, this role is responsible for documentation, meeting coordination, presentation development, and project tracking across multiple concurrent initiatives.

Location

This position can sit in our Atlanta, Austin, Baltimore, Boston, Chicago, Dallas, Houston, Los Angeles, Miami, Minneapolis, Philadelphia, Phoenix, Raleigh, Reston, San Diego, Seattle, Short Hills, Washington DC, or Wilmington office and offers a hybrid work schedule.
 
Responsibilities
 

  • Provide operational coordination and project management support for both planned and ad hoc initiatives, including follow-through and completion of tasks.

  • Develop and maintain comprehensive project schedules, plans, task lists, and trackers to ensure deliverables are met, deadlines are followed, and progress is monitored.

  • Track project progress, risks, dependencies, and proactively identify and escalate bottlenecks to drive resolution.

  • Gather and update documentation from stakeholders, ensuring accuracy and accessibility across all project materials, including timelines, meeting notes, action logs, and status updates.

  • Coordinate and facilitate collaboration among internal partners such as Administration, Operations, HR, Legal Support, and IT, managing resource assignments and shifting priorities as needed.

  • Prepare and distribute meeting agendas and materials, schedule meetings, take thorough notes, track action items, and summarize outcomes with actionable follow-ups.

  • Develop reports, communication materials, and PowerPoint presentations using firm-approved templates, support deck development and storyboarding.

  • Identify and implement opportunities to improve documentation and workflow processes.

  • Coordinate project communications among directors, team members, and stakeholders to ensure alignment and clarity.

  • Support directors with ad hoc reporting, data requests, and presentation materials.

  • Lead or support project close-out activities, including capturing lessons learned and archiving project documentation.

  • May perform other duties and projects assigned.
     

Desired Skills   

Exceptional written, verbal, and interpersonal communication skills, with strong active listening abilities and a talent for creating clear, compelling presentations. Strong problem-solving abilities with experience managing complex workflows, prioritizing multiple tasks, and recognizing trends. Advanced proficiency in MS Office and project management tools (Microsoft Teams, SharePoint, Planner, Excel, PowerPoint); familiarity with ServiceNow is advantageous. Proven ability to build positive relationships, deliver excellent customer service, and effectively support cross-functional teams. Flexible and adaptable, with a proactive, resourceful approach and a strong sense of ownership, initiative, and a reliable follow-through on deadlines. Highly detail-oriented and capable of working independently as well as collaboratively within a team environment.
Minimum Education            

  • High School Diploma or GED.
     

Preferred Education

  • Bachelor’s degree in business, operations, project management, or related field.
       

Minimum Years of Experience  

  • 5 years’ relevant experience in project coordination, operations, or administrative support.

Physical Demands

Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.    

Work Environment    

The individual selected for this position may have the opportunity for a hybrid work arrangement comprised of remote and in-office work, the requirement for which will be determined in coordination with the hiring manager or supervisor and may be modified in the firm’s discretion in the future.

The firm’s expected hiring range for this position is $75,330 - $109,320 per year depending on the candidate’s geographic market location. 
 

The compensation offered for employment will also be dependent on other factors including the candidate’s experience, skills, educational and professional background, and overall qualifications. We offer a comprehensive package of benefits, including medical/dental/vision insurance, and 401(k).
