Manages fixed assets, including physical verification, disposal, write-offs, and system updates. Oversees procurement approvals, master procurement records, purchase orders, direct billing, and small-value purchases. Supports financial and government reporting, improves administrative and procurement processes, and provides general office administration coverage. The role requires strong organizational, communication, multitasking, collaboration, Microsoft Office, SharePoint, OneDrive, automation, and continuous-improvement skills.
[What the role is]
This is a 2-year contract for an Senior Executive, Admin position with the Digital Services & Technology Office.[What you will be working on]
Your responsibilities will include, but are not limited to, the following:
- Manage Assets in accordance with FIN’s policies and procedures, e.g. annual Physical Verification Exercise, Low-Value Asset Declaration, Write-off and Disposal of Assets, AUC conversion to Fixed Assets in the system
- Lead the annual Asset Physical Verification Exercise.
- Review and oversee the bi-annual asset disposal exercises.
- Manage procurement approval for AOR, QAA, Variation & Small Value Purchases (SVP)
- Manage Master Procurement Records/CC Portal, email-in of SVP, direct billing, Purchase Order (PO) Details
- Assist with collation of data for internal and external returns to Finance Office and other government agencies.
- Review and implement improvement to internal procurement and administrative processes
- Assist with General Office Administration as a Covering Officer during colleague’s absence.
[What we are looking for]
- Experience in fixed assets management and annual physical verification exercise
- Experience in admin and procurement in Schools / Admin Departments in Institutes of Higher Learning is an advantage
- Effective team player who can collaborate and complete tasks efficiently as a team
- Initiative to work on improvements to own job areas as well as contribute actively to the Team’s overall performance
- Meticulous, strong admin skills, able to multi-task and complete tasks assigned with a sense of urgency
- Good spoken and written English and communication skills is a must
- Proficient in MS Office (Excel, Word, Outlook), SharePoint, and OneDrive
- IT savvy with prior experience in automation and a drive for innovation and continuous improvement initiatives to enhance operational efficiency
- Proficiency in the use of AI tools is a plus
- Able to work with different stakeholders within Department especially with Finance Office.
- Eager to learn and grow with Digital Services & Technology Office
