About This Opportunity

Bring clarity, momentum and trusted coordination to the office of UQ’s Chief Information Officer. As Senior Executive Assistant, you will provide high-level executive and administrative support that enables the effective management of priorities, information, meetings and key activities. Working within Information Technology Services, you will connect with the ITS leadership team and stakeholders across UQ, contributing to a purposeful, collaborative environment that supports teaching, learning, research and engagement.

Key responsibilities will include:

  • Provide high-level executive support to the Chief Information Officer, including complex diary management, meeting coordination, travel arrangements, correspondence, briefings and logistical support.

  • Coordinate executive meetings, committees, leadership forums and divisional events, including agendas, papers, minutes, action tracking and stakeholder communications.

  • Maintain effective administrative systems, calendars, records and communication processes that support priorities, deadlines, information flow and document version control.

  • Coordinate operational activities across purchasing, reimbursements, asset tracking, facilities, access, compliance and workplace health and safety requirements.

About You

  • A degree with relevant experience, extensive experience providing high-level executive and administrative support, or an equivalent combination of relevant education, training and experience.

  • Demonstrated experience supporting senior executives in a complex, fast-paced organisational environment.

  • Highly developed organisational skills, with the ability to manage competing priorities, deadlines and confidential matters with accuracy and sound judgement.

  • Excellent written and verbal communication skills, with the ability to prepare high-quality correspondence and engage effectively with senior stakeholders.

  • Strong interpersonal skills and a professional approach grounded in tact, discretion, reliability and respect.

  • Proven ability to work independently, anticipate requirements and contribute effectively within a collaborative team environment.

  • High-level proficiency in Microsoft Office and relevant enterprise systems, with the ability to develop working knowledge of platforms such as SharePoint and CRM systems.

  • Experience in committee support, minute taking, event coordination or university and public sector administrative processes would be highly regarded.
