This role is accountable for setting the strategy and driving operational excellence across both disciplines, ensuring our workplace environment and administrative services empower senior leaders and enhance the productivity and engagement of all associates.

What are we looking for?

Required:

  • Demonstrated ability to influence and build strong relationships with senior executives and cross-functional partners.
  • Proven experience managing vendors, budgets, and complex operational processes.
  • Exceptional communication, negotiation, and organizational skills.

Preferred:

  • Experience managing executive assistant teams or leading administrative functions.
  • Experience leading workplace transformation or office strategy initiatives.
  • Strong change management skills and experience leading teams through transition.

What will be your key responsibilities?

1. Strategic & Integrated Team Leadership:

  • Build, mentor, and lead a high-performing, integrated team, fostering a culture of accountability, service excellence, and collaboration.
  • Champion the professional growth of all team members by providing targeted coaching, creating development plans, and building new capabilities across the facilities and administrative functions.
  • Unify the team under a "one team" mindset, ensuring consistent service standards and a positive, inclusive environment.

2. Stakeholder Management & Influence:

  • Serve as a trusted strategic partner to the Mars Snacking Leadership Team, anticipating needs and aligning workplace services with key business priorities.
  • Influence and negotiate effectively with a wide range of senior stakeholders to drive alignment and secure resources for key initiatives.
  • Collaborate closely with cross-functional partners (P&O, IT, Finance, Security) to deliver integrated, associate-centric workplace solutions.

3. Workplace Experience & Facilities Operations:

  • Develop and execute a comprehensive facilities strategy for the GIC that enhances associate engagement and reflects our culture.
  • Oversee all aspects of facilities management, including vendor performance, compliance with health and safety regulations, and management of the operational budget.
  • Lead space planning, office moves, and workplace design projects to create a modern, efficient, and inspiring work environment.

4. Executive Support & Administrative Services:

  • Lead a team of Executive and Administrative Assistants to provide best-in-class support to senior leaders.
  • Establish and refine standards, processes, and coverage models to ensure consistent, high-quality administrative support that enables leadership effectiveness.
  • Drive continuous improvement by implementing modern administrative tools and processes.

5. Operational Excellence & Continuous Improvement:

  • Establish and monitor key performance indicators (KPIs) to measure service effectiveness, efficiency, and stakeholder satisfaction.
  • Identify opportunities to streamline operations and enhance the associate experience by leveraging data, feedback, and industry best practices.
  • Lead change management efforts related to the evolution of our workplace and leadership support models.
