The Executive Recruiting Coordinator is an operational partner to Stout’s recruiting team, responsible for keeping hiring activity organized, visible, and moving forward. This role connects recruiters, hiring managers, candidates, interviewers, and People Team partners while managing the processes, communications, documentation, and data that support an effective hiring process.

Impact You’ll Make

  • Keep recruiting processes moving by managing timelines, logistics, communications, and follow-up across multiple business lines.

  • Serve as a central coordination point for recruiters, hiring managers, candidates, interviewers, and internal partners.

  • Maintain clear visibility into recruiting activity, priorities, open actions, and potential process delays.

  • Strengthen the consistency of Stout’s hiring processes through accurate data, organized documentation, and disciplined follow-up.

  • Provide candidates and internal stakeholders with timely, professional communication throughout the recruiting process.

  • Identify practical opportunities to improve recruiting workflows, reporting, and coordination as the firm’s hiring needs evolve.

What You’ll Do

  • Own the day-to-day coordination of hiring processes across multiple business lines, from requisition launch through offer and close.

  • Develop and maintain interview schedules, timelines, action items, and follow-up for active searches.

  • Coordinate complex interviews involving multiple calendars, locations, and stakeholder groups.

  • Serve as a primary point of contact for candidate logistics and process-related communication.

  • Keep recruiters and hiring managers informed of candidate status, scheduling constraints, pending decisions, and other developments that may affect the process.

  • Proactively identify gaps or delays and work with the appropriate stakeholders to adjust the plan and keep the process moving.

  • Track interview feedback, approvals, decisions, and next steps, following up when action is required.

  • Maintain accurate candidate, requisition, pipeline, and activity information in Workday and other recruiting systems.

  • Prepare status updates, recruiting reports, process documentation, and other hiring materials.

  • Coordinate with People Team colleagues and internal partners on offers, approvals, onboarding handoffs, and related activities.

  • Support candidate research and pipeline development when needed, particularly for priority or specialized hiring initiatives.

  • Recommend practical improvements to recruiting workflows, system usage, documentation, and stakeholder communication.

What You Bring

  • Bachelor’s degree or equivalent combination of education and experience.

  • 2-5 years of experience in recruiting, sourcing, or a related talent acquisition role (corporate or agency experience welcomed).

  • Strong organizational skills with proven experience in managing scheduling and candidate tracking processes.

  • Experience using LinkedIn Recruiter and applicant tracking systems (Workday experience a plus).

  • Strong communication and interpersonal skills with the ability to engage candidates professionally and authentically.

  • Ability to manage multiple priorities in a fast-paced, high-volume environment with keen attention to detail.

  • Analytical mindset with the ability to leverage data to inform sourcing strategies and hiring decisions.
