General Summary:Job Description Summary
The Small Business National Executive Assistant provides a broad range of administrative support across the six Small Business Hubs. The incumbent supports the Small Business Sales Directors as well as the Small Business Sales Operations team. This role requires knowledge of the local Hubs as well as Home Office structure and processes.

Principal Duties and Responsibilities

  • Supports Hub and Small Business Ops expense management needs, for non-salary related accounts, analyzing monthly spending, forecasting, etc. Provides expense research and resolution, being the general subject matter expert (SME) for budgetary questions. Supports region and office level management in attainment of budget goals.

  • Attend weekly Hub level calls, gather and analyze data to create spreadsheets, reports, and presentations

  • Coordinates schedules, meetings and teleconferences. Coordinates room set-up for meetings held in a Hub or the Home Office. Plans and organizes Hub events. Organizes meeting materials and communicates details as needed to key presenters.

  • Makes travel arrangements, organizes calendars, manages travel expenses

  • Creates presentations, memos, letters, manuals, agendas, and other correspondence for external constituencies on behalf of the management team.

  • Gathers, compiles and/or develops various operating reports, routine and adhoc, for Small Business leadership. This could involve querying various mainframe, reporting and marketing systems. 

  • SME for system access for users, as well as generating access requests including Salesforce.com. Accountable for ensuring data integrity for users within the application. 

  • Supports new hire onboarding including building access, system access, etc.

  •  Completes various data entry duties to support overall sales and marketing activities.

  • Supports special projects or other tasks as assigned (data analysis, block roll-up, collection and presentation of data for meeting, etc.)

  • May perform other duties as assigned

Job Specifications

  • High School diploma required, Associates or Bachelors degree preferred

  • A minimum of three to five years experience in an administrative role (preferably for management level support) required

  • Excellent communication skills, both written and oral and superior organization skills

  • Ability to show discretion in handling confidential and sensitive information

  • Ability to work with varying levels of management

  • Ability to set priorities, meet deadlines and manage projects

  • Excellent customer service skills and focus

  • Works well in an energized team environment

  • Highly motivated/proactive, with an exceptionally high ability to work well independently

  • Good judgment and problem solving skills

  • Strong technology aptitude and highly proficient in all Microsoft Office programs: Outlook, Word, PowerPoint and Excel

The base salary range for applicants for this position is listed below. Unless actual salary is indicated above in the job description, actual pay will be based on skill, geographical location and experience.

$45,600.00-$86,200.00

Additionally, Unum offers a portfolio of benefits and rewards that are competitive and comprehensive including healthcare benefits (health, vision, dental), insurance benefits (short & long-term disability), performance-based incentive plans, paid time off, and a 401(k) retirement plan with an employer match up to 5% and an additional 4.5% contribution whether you contribute to the plan or not.  All benefits are subject to the terms and conditions of individual Plans.
