About The RoleAs a TA Coordinator at CollegeVine, you’ll play a key role in delivering a seamless and positive candidate experience across all teams as we scale our AI-first company. You’ll support interview scheduling and recruiting operations for roles across all departments. This role is ideal for someone early in their talent career who is highly organized, detail-oriented, and excited to grow in a fast-paced startup environment.
Responsibilities:Coordinate and schedule interviews across multiple time zones for roles across all departments
Serve as a primary point of contact for candidates, ensuring clear, timely, and professional communication throughout the interview process
Partner closely with recruiters and hiring managers to keep interview processes running smoothly and on track
Manage interview logistics, including calendar scheduling and candidate preparation
Maintain accurate candidate, interview, and pipeline data in Ashby (ATS)
Assist with administrative tasks throughout the hiring process, including drafting, preparing, and sending offer letters, coordinating approvals, and supporting onboarding handoffs
Support recruiting operations by tracking interview progress, updating pipelines real time, and ensuring data accuracy
Identify and recommend improvements to scheduling workflows, candidate experience, and recruiting operations
Assist with additional recruiting projects as needed, including hiring coordination, process improvements, and employer branding initiatives
1+ years of experience in a recruiting coordinator or scheduling role at a high-growth company, tech or AI preferred
Strong organizational skills with exceptional attention to detail
Excellent written and verbal communication skills and a strong candidate-first mindset
Ability to navigate with a sense of urgency and juggle multiple requests and shifting priorities in a fast-paced environment
Experience using an ATS or scheduling tools (bonus if you’ve worked in Ashby!)
Proficiency with Google Calendar, Zoom, Slack, and other collaboration tools
Proactive, reliable, and comfortable taking ownership with minimal oversight
