Manage international trade documentation, including invoices, bills of lading, packing lists, certificates of origin, and HS code compliance. Coordinate drop shipments, freight forwarding, container allocations, transit tracking, and carrier issue resolution. Maintain order, purchasing, billing, invoicing, shipment, and freight-cost records in Zoho Inventory and Zoho Books, while reconciling vendor and forwarder invoices for accurate accounts payable and margin analysis.

● Execute seamless cross-border documentation, matching inbound supplier invoices from China, Thailand, and South Korea with outbound client export invoices.
● Prepare and manage clean sets of Bills of Lading (BL), Commercial Invoices, Packing Lists, Certificates of Origin, and Switch Bills of Lading where required to protect vendor confidentiality.
● Ensure absolute compliance with international trade laws, customs regulations, and proper HS code classifications without physical cargo inspection.
2. Logistics & Freight Coordination
● Coordinate direct factory-to-destination (drop-shipment) routing or port-to-port cross-docking with freight forwarders.
● Negotiate competitive air and ocean freight rates and secure container allocations directly from supplier origins.
● Monitor real-time transit status, update clients on delivery timelines, and resolve carrier delays or port holds immediately.
3. Zoho System Management
● Manage the entire order lifecycle within Zoho Inventory and Zoho Books (Sales Orders, Purchase Orders, Bills, and Invoices).
● Update Zoho in real time to reflect shipment milestones, tracking numbers, and actual freight costs for precise profit margin analysis.
● Reconcile vendor accounts and forwarder invoices against Zoho records to ensure clean accounts payable data.
