Job Title: Wholesale Custom Coordinator

Report To: Wholesale Decoration & Operations Manager

Location: Remote/Hybrid

Overview:

This role sits at the intersection of production, creativity, and operations. The Custom Projects & Patch Production Manager ensures our patch and custom product initiatives move smoothly from art handoff to production to delivery, while keeping stakeholders aligned and informed along the way.

You’ll own patch workflows end to end, support custom product execution across categories, and serve as a key partner to creative, licensing, and external vendors. If you’re someone who likes bringing order to complexity and keeping projects moving without constant follow-up, this role will feel right at home.

Responsibilities

  • Own the direction and execution of all patch orders, including placing orders into production and managing progress through completion
  • Support order management as needed, coordinating production and logistics with internal and external partners
  • Maintain visibility across custom projects, including patch orders, custom hoodies, and other specialty initiatives—ensuring nothing slips through the cracks
  • Partner closely with the Senior Manager of Creative Services and the Licensing team to align priorities and timelines
  • Manage consistent communication with our third-party decoration partners for art hand-offs and patch development
  • Use NetSuite to support order management, tracking, and operational accuracy
  • Leverage Excel/Monday.com to track projects, timelines, and dependencies
  • Support product-line-specific workflows and logistics, including:
    • Patch coordination for various apparel items (can vary)
    • Hat movements or warehouse returns, including providing forwarding addresses as needed
    • Collaborate cross-functionally on screen-print projects:
  • Digital Decorations owns screen-print communications through tech packs
  • This role provides patch-specific tracking details to maintain full project visibility

Competencies:

  • Strong investigative skills, with the ability to provide sound judgement
  • Effective at working in a team environment while managing individual priorities and duties efficiently
  • Customer service oriented
  • Excellent verbal and written communication and interpersonal skills
  • Strong organizational and data skills with attention to detail and accuracy

Qualifications/Requirements

  • Associate’s degree required; Bachelor’s Degree preferred
  • Experience managing custom production or operational workflows, ideally within apparel, accessories, or branded products
  • Working knowledge of NetSuite in a production, operations, or supply-chain environment
  • Comfortable using Excel and Monday.com to organize work and communication status
  • Strong communicator who builds trust with creative, operational, and external partners
  • Highly organized, detail-oriented, and proactive—you spot issues early and help solve them
  • Comfortable balancing multiple projects without losing momentum
  • Proficient in MS office applications (Excel, Word, Outlook)
  • Proficient in Adobe (InDesign, Photoshop)
  • Experience with embroidering and patches is a plus, specifically woven and chenille

Benefits:
  • Unlimited Paid Time Off
  • Paid Sick Leave
  • 13 annual paid company holidays
  • Competitive employee discount
  • Paid Family Leave Program (Maternity & Bonding)
  • Company paid long-term and short-term disability
  • Tax Advantage Accounts (FSA, HSA, FSA Dependent Care, 401(k) & 401(k) Roth
  • Comprehensive Medical Coverage (medical, dental, vision) with company HSA contributions
