About this role
We are seeking an HSE Operations Associate to support the day‑to‑day execution and oversight of Health, Safety and Environment (HSE) programs for employees. This role is grounded in operational delivery and is ideal for a highly organized, proactive professional who enjoys managing ongoing processes, responding to real‑time needs, and ensuring consistent follow‑through across HSE programs.
The HSE Associate will be a key operational contact for global HSE programs, supporting incident management, workplace needs, travel and event safety, employee resources, program documentation, and internal case and shared mailbox triage. The role requires strong attention to detail, sound judgment, and the ability to work independently across time zones while partnering closely with senior HSE team members.
Key Responsibilities
- HSE Operations support
- Support the daily operation of global HSE programs, ensuring requests, cases, and follow‑ups are managed accurately and on time.
- Act as an operational point of contact for routine HSE inquiries and activities.
- Incident management
- Support the intake, tracking, documentation, and coordination of follow-up for reported incidents globally.
- Monitor incident workflows to ensure timely updates and closure.
- Assist with identifying opportunities to improve incident tracking, reporting, and data quality.
- Documentation and records management
- Draft, update and maintain HSE operational documentation including:
- Procedures
- Forms and guidance materials
- Supporting documentation
- Ensure documentation accuracy, version control, proper storage, and overall document lifecycle management across platforms.
- Draft, update and maintain HSE operational documentation including:
- Reporting & operational tracking
- Support data tracking, metrics, and operational reporting related to all program areas and other HSE activities.
- Assist with preparing summaries, trackers, and internal updates.
- Travel and event safety
- Provide operational oversight of the Event Safety program to ensure event-related requests are managed in line with defined processes and timelines.
- Monitor and validate the team is appropriately triaging event submissions, conducting initial reviews, and escalating higher-risk events as required.
- Track event safety reviews from submission through completion, ensuring:
- Events are acknowledged and reviewed in a timely manner
- Required documentation and risk information is complete
- Follow-ups and mitigations are communicated as needed
- Perform quality and completeness checks on event safety reviews and records, escalating gaps, delays, or inconsistencies to senior HSE team members.
- Maintain event safety dashboard to support visibility, reporting, and trend analysis.
- Partner with internal stakeholders to support continuous improvement of event safety workflows and guidance.
- Global inbox management
- Monitor and actively manage the global HSE inbox, ensuring inquiries are:
- Acknowledged promptly
- Responded to accurately
- Escalated appropriately when needed
- Track themes and recurring issues to support process and guidance improvements.

- Ergonomic and workplace needs support
- Provide operational oversight of the ergonomic and workplace needs program to ensure cases are managed consistently and in line with program standards.
- Monitor and validate that the team is triaging requests, scheduling assessments, and issuing follow-up summaries and reviews within expected timeframes.
- Track case progress end-to-end, ensuring:
- Requests are acknowledged promptly
- Assessments are scheduled appropriately
- Documentation and follow-up communications are completed accurately
- Review completed assessments and summaries for quality, completeness, and adherence to guidance, escalating concerns or gaps as needed.
- Coordinate with internal teams and external partners to support equipment recommendations and case resolution.
- Maintain accurate records and support automation design for better tracking, trend analysis, and continuous improvement insights using program operations data.
- Special projects and ad-hoc support
- Support cross-functional and HSE-led initiatives as assigned.
- Contribute to short-term projects, process improvements, and operational clean-up efforts.
What You’ll Bring

- Confidence using tools such as Microsoft Office (Excel, Word, Outlook, PowerPoint) and internal case or ticketing systems (e.g., ServiceNow).
Preferred Qualifications
- 5+ years in HSE, operations, administrative support, or a related field.
- Experience supporting international teams or global programs.
- Familiarity with basic HSE concepts, risk assessments, or incident reporting preferred, but not required.
