What this job involves
The position of Associate MAC and Events Furniture Manager is responsible for the coordination of the daily MAC work orders and assisting with the development of scope and schedule for projects, planning and managing moves.
Proactively manages issues and provides a single point of contact for all MAC work orders and assists with move/reconfiguration related activities to be performed in a manner consistent with policies and procedures
What is your day to day?

  • Handle administrative responsibilities of the project (meeting minutes, agenda, project reports) as requested
  • Manage action agendas and other associated project documentation
  • Review and edit project documentation developed by Project Coordinator
  • Assist with project close out (close-out report, lessons learned, client reports, project survey)
  • Update bio when significant new skills are learned or at the end of a project on which you had a role
  • Ensure all project documentation is maintained on client or Relocation Management SharePoint site
  • Receive and process client requests
  • Participate in planning meetings hosted by the client, relocation manager, occupancy planning and other key stakeholders
  • Initiate meetings to review project schedules with vendors and key stakeholders
  • Assist with the project plan and budget through collaboration with the relocation manager, facility manager, project manager and construction manager as required
  • Interact effectively with client, as appropriate. Communicate issues and concerns requiring resolutions to JLL project lead
  • Manage third-party vendor relationships to ensure timely and cost-effective delivery of workspace reconfiguration projects
  • Oversee end-to-end meetings and events operations, ensuring seamless delivery of workplace experiences from simple gatherings to complex, multi-vendor events across assigned portfolio.
  • Lead client relationship management by serving as executive point of contact for event planning needs, ensuring direct reports meet established Service Level Agreements and maintain high client satisfaction scores.
  • Direct ticket and request management operations, overseeing the complete lifecycle from intake through resolution, ensuring proper triage, prioritization, and communication with Internal Business Partners (IBPs).
  • Manage event resource allocation and logistics coordination, guiding team in space planning, physical setup requirements, audio-visual support, vendor coordination, and troubleshooting to optimize utilization and minimize disruptions.
  • Supervise vendor and compliance administration, including oversight of Certificate of Insurance (COI) collection, tracking, and stakeholder communication to maintain regulatory compliance and risk mitigation.
  • Ensure operational excellence by monitoring team execution of pre-event planning, day-of coordination, and post-event debriefs; review performance metrics and client feedback to drive continuous service improvements.
  • Optimize technology utilization across ticketing systems (Corrigo, Social Tables) and collaboration platforms (Google Workspace, Slack), ensuring accurate documentation, reporting, and knowledge management.
  • Drive process improvement initiatives by analyzing lessons learned, identifying efficiency opportunities, implementing best practices, and adopting new tools to enhance service delivery.
  • Provide team guidance and escalation support, coaching direct reports on complex issues, vendor negotiations, and client communications while maintaining established incident reporting procedures.
  • Manage inventory and resource planning, overseeing supply audits, restocking coordination, and equipment maintenance to ensure operational readiness.

Desired experience and technical skills
Required

  • HS diploma or GED
  • 2 years as Facility Coordinator, Relocation Project Management Coordinator, or similar/related experience in a Corporate Real Estate environment
  • 1 year working with/on an Events Team
  • Strong Microsoft Excel skills
  • Ability to utilize the Microsoft Office suite of technologies
  • Detail oriented
  • Ability to multi-task and work both in a team and independently
  • Experience in a CAD/CAFM technology with a move management module and/or client facilities management system
  • Knowledge of construction or commercial real estate industry
  • Familiarity with architectural drawings and furniture and space planning concepts
  • Strong interpersonal skills with the ability to interact with executive level internal & external clients
  • Organizational & detailed-oriented with the ability to prioritize and manage differing needs of the business
  • Talent self-management: Self-identify individual skill development and proactively seek training for improvement
  • Ability to multi-task and work both in a team and independently
  • Flexibility with work hours and travel as needed

Preferred

  • Bachelor’s degree in Architecture, Engineering, Construction Management.

Schedule: M-F 8AM-5PM
