What You'll Be Doing

The Executive Assistant is responsible for supporting executives and coordinating a department’s administrative activities, applying extensive knowledge of the job to provide support at an advanced level. In this role, the Senior Executive Assistant makes decisions on methods to complete administrative tasks, organizing an office using independent judgement, discretion and diplomacy and making day-to-day administrative and operational decisions. This role involves independent interpretation of policies on new projects and assignments, preparing correspondence, memos, minutes and reports from verbal instructions or other preparatory material. The role provides guidance to others on non-routine issues, managing small special events or projects, coordinating meetings and developing administrative procedures and processes.

KEY ACCOUNTABILITIES

  • Provide day-to-day executive administration support to Head of Commercial & Industrial Banking and the direct reports of each of the C&I Lines of Business (Asset Based Lending, Mid-Corp Lending and Leveraged Finance) while assisting other Executive Assistants who support Illinois Commercial Banking and Regional Commercial Banking.

  • Proactively manage schedules, calendars, meetings, travel, expenses, email correspondence and other critical executive administration functions.

  • Professionally and proactively execute on correspondence for Head of C&I Banking, managing email inbox, replying to messages independently and seeking to drive greater efficiency end effectiveness in communication for C&I Head.

  • Collaborate with the Chief of Staff serving the Head of Commercial & Industrial Banking to drive execution with pace and precision.

  • Serve as a Liaison for the Head of C&I Banking with other key executives and functional areas including but not limited to the Bank’s Executive Leadership Team (“ELT”), the Bank’s Operating Committee (“OpCo”), various People Networks across the Bank, the Bank’s Mentor Program, Finance, Human Resources, etc.

  • Receive visitors and answer phone calls, provide information, and refer visitors/callers to appropriate individuals using judgment of sensitivity and confidentiality.  

  • Proactively lead the onboarding of new employees across C&I Banking, ensuring a high-touch positive experience for new Team Members.

  • Actively manage and update the roster of C&I team members with critical information to ensure a comprehensive real-time view of the C&I Team.

  • Proficiency in Word, Power Point, Excel, Outlook and Artificial Intelligence to drive execution for the Head of C&I Banking in various day-to-day needs, tasks, objectives, etc.

  • Involvement in various projects and initiatives across C&I Banking to ensure collaboration, alignment and execution with pace and precision.

How You'll Succeed

  • Calendar Management - Maintain and monitor the executive’s calendars of scheduled appointments, upcoming events, and matters requiring immediate attention. Coordinate agendas, and send meeting invitations and agendas to attendees, book meeting rooms, and arrange for IT resources and refreshments in support of a smooth and efficient meeting facilitation.

  • Travel Arrangement & Expense Reporting - Arrange travel arrangements and maintain travel expense account including expense submissions to PeopleSoft on behalf of the Executives. Arrange group travel as necessary. Monitor and track all department invoices and expenses including contracts; process expense reports/invoices and update financial reports when required.

  • Professional Support - Prepare standard correspondence, minutes, reports, and presentations frequently of a confidential, strategic, and/or specialized nature ensuring completed material is produced promptly. Assist with the preparation of presentations and management reporting.

  • Administrative Duties - Provide ongoing administrative support such as; assisting with onboarding/off-boarding activities for new and departing employees which include processing requests for technology requirements, business cards, corporate cards, expense and travel profiles, etc.

Who You Are

  • You’re an experienced administrative professional. You have 5+ years of experience as an Executive Assistant in a highly professional, confidential, and fast-paced environment.

  • You’re a strong communicator. You have excellent verbal and written communication and interpersonal skills to interact with a wide range of individuals in a wide range of situations, which usually requires tact, diplomacy, and discretion.

  • You’re digitally proficient. You have a strong command of MS Office suite including Word, Excel, PowerPoint, and Outlook.

  • You know that details matter. You notice things that others don't. Your critical thinking skills help to inform your decision-making.

  • Values matter to you. You bring your real self to work and you live our values - trust, teamwork, and accountability.

At CIBC, we offer a competitive total rewards package. This role has an expected salary range of $65,000 - $75,000 for the market based on experience, qualifications, and location of the position. The successful candidate may be eligible to participate in the relevant business unit’s incentive compensation plan, which may also include a discretionary bonus component.
