Major Responsibilities:
Accurate utilization of computerized central scheduling system to provide customers with timely, courteous, and proficient scheduling, for AMG south region gastroenterology. Interview patient to accurately determine scheduling needs. Coordinate the scheduling of appointments for all out patient diagnostic testing and procedures. Accurately collects, analyzes and records demographic, insurance/Financial and clinical data from multiple sources, and obtains other information and signatures necessary for scheduling and registration.

What you will do:

  • Maintain thorough knowledge of the scheduling requirements of the hospital ancillary departments and respond proactively to changes in the needs of these departments (i.e. calendar changes, new procedures to be added, new providers, etc.) Scheduling of procedures/consults and ongoing colonoscopy appointments.

  • Schedule patient based on established department guidelines and in a manner that is focused on the customer’s needs. Reconcile and ensure accuracy of provider: Hospital, surgery center and AMG schedules.

  • Determine testing variables and prevent scheduling conflicts. Manage and maintain provider schedules, assist in maintaining the provider calendar, ensure provider schedules are full.

  • Insure proper test sequencing when multiple testing is ordered.

  • Maintains confidentiality of patient records. Monitors work volumes and notify the coordinator person of back logs. Obtains patient reservation from physicians, physician’s staff, nursing unit and outpatient areas.

  • Accurately obtains any updated patient demographic information and enters into hospital computer system. Reconcile and ensure accuracy of provider: Hospital, surgery center and AMG schedules.

  • Maintain current knowledge of all payer mechanisms as they relate to the registration process.

  • Provide patient/customer with accurate information regarding the test preparation requirements as document by the department in the scheduling forms.

  • Reminder Calls, follow -up as needed with patients, patient instruction as needed, missed appointment letters, insurance verification and confirming patient appointments Manage patient follow-up, complete needed prior authorizations, task management.

  • Accurately obtain and document orders for scheduled diagnostic tests. Contact department as appropriate for same-day appointments.

  • Work with patients, patient representatives, physicians, RN’s, CMA’s and clinical leaders to resolve issues related to scheduling issues.

  • Accurately enters, makes revisions and updates patient information in the computer systemChecks correctness of information on surgical form.

  • Review physicians orders received against department policy regarding accuracy and completeness.

  • Communicate with physician offices regarding orders, request additional information to be able to schedule appointments, comply with order accuracy Completes appropriate referral forms.

  • Follow department policy for clearing orders for medical necessity and discussing with patients and physicians the outcome of that screening. Schedules surgery at proper facility.

  • Schedules pre-op labs and tests, and delivers any special instructions to patient.

  • Sends faxes as required.

  • Assists and coordinates other managed care duties/referral management.

The duties of the Scheduler in regards to Service Excellence will have been satisfactorily performed when:


  • The scheduler is knowledgeable concerning the operations so that patient, visitor and fellow employee questions are answered or referred in an appropriate manner.

  • The scheduler is familiar all operations units so that patients’ visitors and fellow employees can be properly directed to their destinations.

  • The scheduler is sensitive of patients and visitors needs and problems and knows that the patients’ rights to confidentiality must be maintained.

  • The scheduler interactions with the patients, visitors and fellow employees reflects the view that the scheduler is an agent of the hospital and is to act in the hospitals best interest.

  • The scheduler successfully creates a positive image with the patients, visitors and fellow employees or internal customers.

  • Open communication exists with patients, visitors and fellow employees allowing issues to be resolved with little or no conflict. The scheduler handles complaints and requests to the customers’ satisfaction.

Education/Experience Required:
High School diploma or GED 2-3 years related experience in health care Knowledge of medical terminology.
Knowledge, Skills & Abilities Required:
Computer experience Good communication skills Good organizational skills Can perform basic calculations.
Physical Requirements and Working Conditions:
-Ability to work in a fast-paced environment with established time constraints and difficult situations -Moderate typing -Ability to be flexible between centralized and de-centralized registration locations. Ability to work weekends, holidays, and various shifts to accommodate staffing needs -Ability to use multiple computer systems at once. Ability to function in a high volume, multiple-task environment. Exposure to ill patients. Possible travel to other sites or to ancillary settings for training programs and/or temporary assignments. Bilingual preferred (especially in Spanish and Polish).
Ability to lift up to 35 pounds without assistance. For patient lifts of over 35 pounds, or when patient is unable to assist with the lift, patient handling equipment is expected to be used, with at least one other associate, when available. Unique patient lifting/movement situations will be assessed on a case-by-case basis.
