Smithbucklin, a 650-person, employee-owned professional services company with more than 70 years of success serving the association market, with primary offices in Chicago and Washington, D.C., is looking for a Mailroom Associate to join our Facilities team in our Chicago office.
 
The Facilities Associate will be responsible for executing the daily operations of the mailroom at the company’s Chicago headquarters; and supporting various other Chicago facilities functions and projects. What You Will Do:
  • Perform daily operations of the mailroom by sorting, delivering, and tracking mail and packages.  
  • Administer fulfillment of large shipments to and from client conferences in other cities. 
  • Assist with on-site client storage revenue-producing program, by tracking, retrieving, and distributing items.
  • Perform facility-wide space inspections at regular intervals throughout the day to ensure condition standards are maintained. 
  • Assist with new employee orientation training to create awareness and education on mailroom processes and functions.
  • Assist with the creation standard operating procedures to aid in the success of the Chicago headquarters, as needed.
  • Work with facility vendors and partners to ensure consistency and timely deliveries.
  • Assist with the execution of in-space company-wide events for employees, such as business meetings, training sessions, and socials. 
  • Deliver certified mail to the post office as well as return necessary paperwork to sender, as needed.
  • Order and inventory mailroom materials for office needs.
  • Restock facility kitchens and closets. 
  • Communicate facility/mailroom issues and suggestions with the Sr. Facilities Coordinator and/or the Facility Manager.
  • Assist in the occasional moving of company and client physical property within the facility.
  • Assist with the execution of in-space company-wide events for employees, such as business meetings, training sessions, and socials.
  • Support other Chicago facility functions and projects, as requested. 
 
Basic Qualifications:
  • Ability to work on-site in our Chicago office, 5 days a week
  • Well-organized with excellent multi-tasking abilities.
  • Associates degree or higher in relevant field is preferred.
  • Demonstrated ability for critical thinking.
  • Strong communication and interpersonal skills.
  • Strong orientation to providing excellent customer service. 
  • Ability to multi-task and address customers’ needs, facility issues and miscellaneous projects. 
  • Above average computer skills including Microsoft Office
  • Possess a keen eye for detail.
  • Comfortable with making reasoned judgement calls with respect to various areas of work.
  • Ability to overhead lift and move physical property (subject to a not exceed 50lb limit per piece).
Preferred Qualifications:  
  • At least 1 year in customer service is desired, but not required.

The role is an on-site work environment with in-office days established as Monday through Friday.  Employees will work a standard 40-hour week, with the possibility of additional hours based on project deadlines.
 
Smithbucklin considers several factors when determining compensation, including a candidate's recent coursework, training, experience, and certifications, among other considerations. The expected pay for this role is $48,000.
