The Executive Administrative Assistant provides advanced administrative support for an executive leader and staff and is responsible for managing complex calendars, coordinating conferences and meetings, and preparing high-quality materials such as presentations, spreadsheets, and reports. Additionally, this role involves processing monthly time and expense reporting, maintaining filing and organization systems, and completing special projects as needed. Possesses excellent communication and organizational skills, with the ability to interact effectively with individuals at all levels within and outside of the Company in a professional and confidential manner.

 

What You Will Be Doing

 

  • Provide a wide range of advanced, diversified and confidential administrative support for and staff.
  • Receive, screen and handle telephone calls, incoming mail/email, publications and other correspondence, much of which is confidential or sensitive in nature 
  • Coordinate conferences and meetings, and perform complex calendar management including managing and communicating all meeting logistics and agendas to involved parties 
  • Compose and proofread correspondence and produce high quality materials such as presentations, spreadsheets and reports
  • Process monthly time and expense reporting 
  • Create and maintain computer and paper-based filing and organization systems 
  • Maintain knowledge of organization policies, procedures and resources 
  • Complete or participate on special projects as needed 
  • Interact effectively with individuals at all levels within and outside of the Company in a professional and confidential manner 

What We Require

  • 5+ years related work experience
  • High school diploma or GED 
  • Experience working with Microsoft Office products: (indicate Word, Excel or PowerPoint) 
  • Experience leveraging organizational skills to support management team and client needs, focusing on execution, accuracy and efficiency 
  • Must be able to work flexible hours/schedule to meet business need

 

General Physical Demands

 

  •  Exerting up to 10 pounds of force occasionally to move objects. 

  • Jobs are sedentary if traversing activities are required only occasionally.

Typical Hourly/Offer Pay Range: $35 - $43
Hourly Pay Range: $35 - $56
Final pay will be determined with consideration of market competitiveness, internal equity, and the job-related knowledge, skills, training, and experience you bring.
