ABOUT THE ROLE
The Executive Assistant is responsible for providing direct administrative support to the CEO at Pangea, while also handling occasional tasks for other members of the Senior Leadership Team.

YOU WILL
- Sort incoming e-mails and other correspondence for our CEO, keeping him abreast of messages, and drafting responses as directed
- Manage the CEO’s calendar by resolving conflicting time demands and ensuring a seamless schedule, based on business priorities
- Handle confidential information and communications efficiently and with strong attention to detail
- Anticipate the CEO’s needs and proactively assemble any appropriate resources
- Make travel arrangements for executive team members
- Prepare and track expenses
- Execute general administrative support duties
- Manage Adhoc projects as assigned (reports, communications, presentations)
- Maintain the office condition, coordinate repairs, and order supplies
- Assist HR in recruiting and facilities-related onboarding and offboarding coordination, as needed
- Coordinate logistics for in-house and off-site company activities and meetings
- Ensure office safety by manning the front desk/door from 9 am to 5 pm, daily
- Manage all mail, FedEx/UPS, and shipping needs for the office
YOU HAVE/ARE
- Bachelor’s Degree
- A minimum of 5 years of administrative experience, preferably in a face-paced and nimble environment
- High proficiency in MS Office applications and Google Suite (Gmail, calendar, etc)
- Professional demeanor with extraordinary attention to detail
- Excellent time management, organizational, and planning skills
- Superior problem-solving, written, and verbal communication abilities
- Proven ability to multitask and prioritize tasks based on business needs
- Nimble, adaptable, and can pivot quickly based on changing needs and requirements
- A fun personality that will bring a highly positive and pleasant demeanor to the office every day
