Office Coordinator, Zoro
Company Summary:

Primary Function:
The Office Coordinator position is responsible for overall front office activities, including the reception area, mail, large purchasing requests, coordinating with facilities, and other external and internal partners. The Office Coordinator is also responsible for directing and coordinating office services and related activities, including developing and supervising programs for the maximum utilization of services and equipment. This person will be responsible for arranging internal office moves and providing arrangements for office meetings. Additionally, this person will be Responsible for catering orders for vendor meetings and special events.
Duties and Responsibilities:
- Greets and assists visitors when they arrive at the office.
- Monitors office supplies inventory and places orders.
- Responsible for incoming and outgoing mail.
- Provides Wi-Fi access for guests.
- Maintains security badges and fobs requests for employees.
- Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.
- Responsible for coordinating with internal and external vendors for facilities day-to-day operations.
- Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.
- Negotiates the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.
- Supervises the maintenance of office equipment, including copier, fax machine, etc.
- Helps facilitate local company meetings.
- Helps secure conference rooms for top priority meetings with vendors and office team members.
- Participates as needed in special department projects
- Keeps office clean and organized to promote an efficient working environment.
- Works closely with Office Administrative Assistants and helps facilitate different projects on their behalf.
- Maintains distribution lists.
Qualifications:
- Associates degree preferred or equivalent work experience.
- At least two years of previous experience in office administration
- Previous experience and interactions with Leadership team members a plus.
- Working knowledge of mail processes such as postage machine, FedEx and UPS.
