Job Summary
We are looking for a superstar Office Manager & EA for our Chicago, IL headquarters office. This person will be responsible for managing daily office operations in our fast-paced, hard-working and fun-filled office. (Due to COVID-19 our office space is currently on a sign-up voluntary basis so the number of individuals in on a given day is capped.) You’ll report directly to the CEO and will manage the core office activities, including executive assistant duties, reception, supplies, travel and team events. This role is expected to be onsite 3 days a week during normal business hours (as needed.)
Executive Assistant (45%)
- Provide executive assistant duties to our CEO & Co-Founder including coordinating and managing complex calendar scheduling (and extensive calendar maintenance), including making appointments and prioritizing the most sensitive matters, travel, errands, clerical tasks, etc.
- Book travel for Keeper executive team members, including local transport, flights, accommodation and travel insurance
- Communicate with all Keeper US team members (in close coordination with Ireland staff) providing regular updates on company news
- Maintain discretion and confidentiality of sensitive information at all times
- Expense reporting creation for CEO and credit card reconciliation for all office items expenditures
- Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
- Plan and orchestrate work to ensure the senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld
- Perform administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contact database
Office Management & Reception (40%)
- Direct and own all office management, including reception, building access, mail services, conference services, catering, basic technical support and general clerical support
- Plan and organize all office events, parties, team building outings, functions and meetings, including venues, food, transportation and communication
- Oversee office procurement of general office supplies, office equipment, furniture, capital office assets, etc. ensuring supply inventory is sufficient and spending is within budget
- Maintain a unified working relationship with teams in our US offices (California/Illinois) and Ireland
- Our Keeper brand is vital to our success; our Office Manager is responsible for greeting all visitors in a professional and welcoming manner.
- General errands, administrative tasks and data entry as required
- Work in tandem with our IT department and assist with various technical needs
- Assist with New Hire Onboarding virtually and in-person, including shipping swag, technical set-up (e.g. e-mail, Keeper Vault set-up, common applications set-up, etc.)
Facilities (15%)
- Ensure the office is maintained at a high standard at all times that is compliant with workplace safety and conducive to producing a creative and collaborative environment.
- Liaise with building management, facilities vendors and office subcontractors to ensure work is performed in a manner that is satisfactory
- In conjunction with cleaning staff, maintain kitchen cleanliness including responsibility for the dishwasher, coffee machine, fridge and trash
- Responsible for ordering beverages, snacks and food to keep our troops fueled and happy.
Requirements
- At least 3 years professional experience in similar office management or administrative assistant role
- A people person, as we value personality fit more than anything! We’re looking for someone outgoing who can make everyone feel welcome at Keeper.
- Experience booking travel and calendar management for executives
- Tech savvy. This means you’re an expert with Google Drive, Gmail, Google Calendar, Google Docs and MS Office including Word and Excel.
