About the role
We are looking for an Office Coordinator to support the day-to-day operations of Pangea’s HQ and support our executive team. Reporting to the VP of HR you will be responsible for ensuring that Pangea’s Chicago office is running smoothly and performing administrative tasks for the senior leadership team.
As Office Coordinator at Pangea, you’ll get to:
- Manage Pangea’s HQ including coordinating with vendors, greeting guests, processing mail, and maintaining the physical appearance of the office.
- Keep office stocked with food, beverages, and necessary supplies.
- Provide daily administrative support to the company’s executive team by scheduling meetings, setting up conference rooms, keeping agendas running on time, and ensuring materials for meetings are prepared and distributed.
- Book travel arrangements, as necessary, for senior leadership and select guests.
- Plan and coordinate company events and all-company events including A/V setup and catering.
- Capture meeting notes and action items, when assigned.
- Coordinate with HR to ensure new hires are set up with computers, key cards, and other necessary materials on their first day.
The ideal candidate will have:
- The ability to work onsite at Pangea’s Chicago HQ weekly on Tuesdays, Wednesdays, and Thursdays from 8:30 AM to 5:00 PM.
- Experience in facilities management and/or administrative support.
- Exceptional interpersonal and relationship management skills at all levels (junior through C-suite). You can effectively interact with a diverse set of stakeholders.
- An adaptive personality. You can multitask and prioritize with little to no supervision.
- Strong attention to detail.
- Demonstrated exceptional judgment and decision-making skills.
Bonus points if you have:
- Experience in a startup and/or financial services company.
