The Payroll & Benefits Manager is responsible for overseeing and managing Porter Family Companies payroll and team member benefits functions to ensure accurate, timely, and compliant administration of compensation and benefit programs. This role leads payroll operations, benefits administration, regulatory compliance, payroll tax reporting, and team member support while partnering closely with Human Resources, Finance, and external vendors to deliver exceptional service and operational excellence. The Payroll & Benefits Manager provides excellent customer service to both internal and external customers and demonstrates a strict level of confidentiality with all team members while serving as an ambassador of our culture.
Payroll Management Essential Functions:- Manage and oversee the full-cycle payroll process for all team members in multiple states.
- Ensure timely and accurate processing of payroll, including wages, overtime, bonuses, commissions, and deductions.
- Review and approve payroll reports prior to processing.
- Maintain payroll records and ensure data integrity within payroll systems.
- Maintain setup and configuration of ADP Workforce Now, updating as needed.
- Partner with payroll system support to customize system functionality to meet organizational needs.
- Initiate and maintain all team member data in ADP from hire through termination, including onboarding, timekeeping, PTO, benefits, and payroll processing.
- Ensure compliance with federal, state, and local wage and hour laws.
- Manage payroll tax filings, garnishments, levies, and required withholdings.
- Coordinate year-end payroll activities, including W-2 preparation and distribution.
- Stay current on payroll regulations and implement required policy updates.
- Maintain accurate, complete audit trails for all payroll transactions by pay cycle
- Prepare payroll reports for management, Finance, HR, and external agencies.
- Support internal and external audits with documentation and analysis.
- Reconcile payroll accounts with Finance to ensure accurate financial reporting.
- Administer payroll software and related systems.
- Identify and implement process improvements for payroll efficiency, controls, and accuracy.
- Partner with HR and IT on payroll system upgrades and enhancements.
- Ensure data security and confidentiality of all team member information.
- Supervise and develop payroll staff, if applicable.
- Establish departmental goals and performance standards.
- Provide training and guidance on payroll procedures and compliance requirements.
- Respond to team member inquiries regarding pay, taxes, and deductions.
- Resolve payroll discrepancies promptly and professionally.
- Ensure accurate team member data management
- Oversee administration of employee benefits programs, including medical, dental, vision, life insurance, disability, retirement plans, and voluntary benefits.
- Ensure accurate processing of benefit enrollments, changes, terminations, and payroll deductions.
- Serve as primary liaison with benefits providers, brokers, and third-party administrators.
- Work closely with VP of Talent, Team, and Culture, brokers, and benefit vendors to coordinate annual open enrollment activities, employee communications, and benefits education programs.
- Reconcile benefit invoices and ensure accurate employer and employee contributions.
- Monitor compliance with applicable regulations, including ACA, COBRA, FMLA, HIPAA, ERISA, and state-specific requirements.
- Work collaboratively with HR on the leave administration processes, including FMLA, disability, and other protected leaves.
- Consistently maintain an upbeat, positive, professional attitude with all team members.
- Handle special requests and projects as directed by VP of Talent, Team, and Culture or CFO.
- Comply with all PFC policies, procedures, and regulatory guidelines.
- Complete all training including all assigned online compliance training.
- Understand and adhere to PFC Values and Culture
- Perform other duties as assigned.
- CPP (Certified Payroll Professional) certification preferred.
- 5+ years of progressive payroll experience, including payroll management responsibilities.
- Proficient with ADP Workforce Now.
- Experience administering employee benefit programs and related compliance requirements.
- Experience with multi-state payroll and benefits administration preferred.
- High School Diploma or GED.
- Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or related field preferred.
- Ability to stand, walk, and sit for extended periods.
- Must be able to lift, carry, push or pull objects up to 20 pounds.
- Requires visual, hearing and speech acuity.
- Exposure to extreme temperatures and elements, noise, and fumes.
- Ability to use hands to operate office equipment.
