Position Summary

We are seeking a highly organized and proactive Project Coordinator to support our Project Management and Service Delivery teams in a fast-paced IT Managed Services Provider (MSP) environment. This role is responsible for coordinating project activities, assigning work, scheduling resources, monitoring task progress, and maintaining visibility into project status across multiple client engagements.

The ideal candidate thrives in a structured, process-driven environment and excels at keeping projects organized and moving forward. This position serves as a key liaison among Project Managers, technical resources, and service delivery teams to ensure project work is properly assigned, scheduled, tracked, and completed on time.

The Project Coordinator reports directly to the Project Manager and provides project administration, resource coordination, and operational support across the project portfolio.

Key Responsibilities

  • Coordinate and schedule work assignments across multiple active projects.
  • Assign project tickets and tasks to appropriate resources based on workload, availability, skills, and project priorities.
  • Monitor task progress and proactively follow up on open, overdue, or at-risk work items.
  • Review, update, and maintain accurate ticket statuses and project records to support reporting and visibility.
  • Assist the Project Manager with maintaining project schedules, milestones, timelines, dependencies, and deliverables.
  • Coordinate resource schedules and help balance workloads across project teams.
  • Identify and escalate scheduling conflicts, resource constraints, project risks, and delivery concerns.
  • Facilitate communication among the Project Manager, engineers, service delivery teams, and other stakeholders.
  • Assist with project kickoff preparation, status meetings, follow-up activities, and ongoing project administration.
  • Maintain project documentation, schedules, reports, and supporting records.
  • Help ensure project workflows, standards, and operational processes are consistently followed.
  • Support continuous improvement initiatives related to project delivery, resource management, scheduling, and operational efficiency.
  • Assist the Project Manager with additional responsibilities and special projects as needed.

Required Qualifications

  • Two or more years of experience as a Project Coordinator, Project Scheduler, Resource Coordinator, Dispatch Coordinator, or in a similar operational role.
  • Experience working for an IT Managed Services Provider (MSP), technology services organization, or professional services organization.
  • Strong understanding of project scheduling, task management, resource coordination, and ticket-based workflows.
  • Experience coordinating multiple concurrent projects and competing priorities.
  • Excellent organizational, time management, follow-through, and communication skills.
  • Strong attention to detail and commitment to process consistency.
  • Proficiency with Microsoft 365 applications, including Teams, Outlook, Excel, and SharePoint.
  • Ability to work independently in a fully remote environment while collaborating effectively with distributed teams.

Nice to Have

  • CAPM (Certified associate in project management) certification.
  • Experience with ConnectWise Manage or ConnectWise PSA.
  • Experience with Moovila.
  • Experience with Pylon.
  • Experience with Linear.
  • Experience with other Professional Services Automation, project delivery, scheduling, or resource planning tools.
