Sales Operations Coordinator

Fully remote position with occasional virtual team meetings

Job Summary
The Sales Operations Coordinator supports proposal development, business development operations, and client onboarding coordination activities to improve operational efficiency and ensure successful client transitions from sales to implementation.  Working closely with the Sales Operations Manager, this role assists with the preparation and submission of: Proposals, coordination of internal workflows, tracking of onboarding activities, and communication between cross-functional teams.


Proposal & RFP Responsibilities

  • Support the development, coordination, and timely submission of RFPs, RFQs, and other solicitations.
  • Monitor opportunities and deadlines, coordinate input from internal teams, and ensure proposal requirements are complete and accurate.
  • Maintain proposal content, templates, documentation, and reporting within Responsive (RFPIO), SharePoint, and related systems.
  • Utilize Microsoft Office, Adobe Acrobat, CRM, and other business tools to prepare proposals, manage workflows, and track activity.

Sales Operations & Client Onboarding

  • Support new client onboarding and operational transitions from sales commitment through implementation and go-live.
  • Coordinate onboarding requirements, milestones, meetings, training, and follow-up across Sales and internal operational teams.
  • Maintain accurate CRM records, onboarding documentation, workflow trackers, and other operational materials.
  • Support contract-related requests, cross-functional initiatives, and ongoing process improvements as business needs evolve.


Qualifications & Experience
• Bachelor’s degree in Business, Communications, Healthcare Administration, Marketing, or a related field preferred; equivalent professional experience will be 
considered.

• 2–5 years of experience in proposal coordination, sales support, business 
operations, project coordination, healthcare administration, or related fields 
preferred.

• Experience supporting RFP responses, onboarding coordination, account management support, or cross-functional business operations is highly desirable.

• Preferred experience in industries such as Criminal Justice, Toxicology, Healthcare, Government Contracting, or related regulated industries.

Skills and Competencies
• Exceptional attention to detail and commitment to producing high-quality, compliant proposals.

• Strong written and verbal communication skills with the ability to collaborate across departments.

• Project management and organizational skills, with the ability to prioritize multiple deadlines.

• Ability to work independently in a fast-paced, deadline-driven environment.

• Experience maintaining accurate CRM records and operational documentation.

• Ability to identify process gaps and recommend workflow improvements.

• Comfortable working across multiple software platforms and operational systems.

Work Environment & Expectations.

• Must be available to support business-critical deadlines, which may require occasional evening or weekend work
