JOB SUMMARY: The Stage Manager is responsible for coordinating rehearsals, managing backstage operations, and calling performances while serving as the central communication hub for the production team. Working closely with the production manager, directors, designers, cast members, crew, and families, the Stage Manager oversees rehearsal logistics, maintains production documentation, manages backstage operations, and ensures productions run smoothly, safely, and efficiently from rehearsals through performances. This position is compensated as a flat stipend per production, based on an anticipated average of around 75 hours per show, but varying per production schedule. This is a PT 3 position, with the benefits listed below.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Pre-Production
-
Attend and record notes in all pre-production meetings
-
Set up the company Dropbox with the music tracks, choreography folder, and a digital copy of the script
-
Scan the script if there isn’t already a digital copy and where allowed by royalty agreement
-
Collect schedules from the creative team, and combine it into one document along with all actor conflicts on it
-

Rehearsal

Take attendance; follow up with anyone missing who is not excused
-
Take notes of all blocking and production needs, and distribute rehearsal reports after
-
Monitor the rehearsal room for any behavioral needs
-
Communicate the weekly call to families, as well as any information from the design team to the parents as needed
-
Create a transition sheet for student crew to manage and teach the crew their transitions ahead of tech week
-
Oversee the Assistant Stage Managers and coordinate/assist with their responsibilities

Tech
-
Take attendance; follow up with anyone missing who is not excused
-
Run the rehearsals and answer all questions in conjunction with the production manager
-
Call the show, including backstage cues and the ensemble from the offsite dressing room
-
Execute all lights and sound Go cues as pre-programmed by designers
-
Coordinate and oversee the assistant stage managers in their production responsibilities, including assisting with furniture management as needed

Manage any updates to the run sheet
-
Work with the director to create a schedule for each day of the production run
-
Organize and distribute cast gifts (shirts, bags, etc.)

Review and edit the program for cast accuracy

During the Run
-
Take attendance; follow up with anyone missing who is not excused

Run warm-up numbers as agreed upon with the music director
-
Call the show, including calling the ensemble from the offsite dressing room when needed

Oversee the assistant stage managers in their production responsibilities

Manage any updates to the run sheet

Post Show
-
Collect all loaned materials from the cast

Ensure booth is cleaned up and put away

Other Duties
-
Actively uphold and contribute to the Wilmette Park District's Comprehensive and Strategic Plan, including its Guiding Principles and Strategic Priorities.

Actively contribute to the Park District's sustainability goals.
SAFETY RESPONSIBILITIES:
-
Actively support the safety program that will effectively control and reduce accidents.
-
Obey the safety rules, regulations, and procedures established by the Wilmette Park District safety program that are pertinent to the activities conducted by the department.

Become familiar with and follow safety procedures of the Wilmette Park District, including, but not limited to, fire, severe weather, and evacuation procedures.

Promptly report all unsafe actions, practices, or conditions observed to the immediate supervisor, or Human Resources/Risk Management division.

Attend and participate in required safety training.

HOURS:

This position is compensated as a flat stipend per production, based on an anticipated average of around 75 hours per show, but varying per production schedule

Rehearsals: 1-3 days/week depending on ASM availability/coverage and the needs of the production. Rehearsals are generally Wednesday and Thursday evenings and Saturday daytime

Tech Week: Generally 5:30-8:30 PM Monday-Thursday the week of Opening Night

Performances: Two consecutive weekends; Friday evenings & Saturday/Sunday daytime
