Primary Purpose:
Responsible for leading Office Services operations for the Chicago Support Office, ensuring a safe, efficient, and productive workplace environment for associates and visitors. Oversees facility operations, mail services, space planning, vendor management, safety programs, and workplace support functions. Manages day-to-day operational activities, financial performance, and service delivery while fostering strong partnerships with internal stakeholders, landlords, and service providers. Supports business continuity and workplace initiatives that enhance the associate experience and operational effectiveness.
Our hybrid work schedule includes 3 in-person days at one of our core locations and 2 remote days. Our core office locations include Chicago, IL
Applicants must be currently authorized to work in the United States on a full-time basis.
Duties and Responsibilities:
  • Serve as the primary point of contact for facility operations and landlord relations, coordinating building maintenance, repairs, inspections, and related services.
  • Manage third-party vendors and contractors, including janitorial, maintenance, safety, and workplace service providers, ensuring service levels are met.
  • Oversee mailroom operations, shipping and receiving activities, and related service processes.
  • Manage office space planning, office moves, furniture coordination, and workplace utilization initiatives.
  • Develop, monitor, and manage facility and operational budgets, including invoice review, approval, and payment processing through Coupa.
  • Maintain office, pantry, and operational supplies to support daily business operations.
  • Administer the associate badge access program in partnership with Asset Protection and building security teams.
  • Lead workplace safety initiatives, emergency preparedness efforts, first responder programs, and annual evacuation drills.
  • Support business continuity planning and participate in cross-functional workplace initiatives.
  • Respond to facility-related emergencies and coordinate appropriate support and escalation activities as needed.
  • Ensure compliance with company policies, safety standards, and operational procedures.
  • Partner with business leaders, HR, Asset Protection, IT, and other stakeholders to deliver an exceptional workplace experience and support organizational initiatives.
  • Perform additional duties as assigned to meet business needs and support organizational objectives

Qualifications:
  • High School Diploma or GED required.
  • 3-5 years of experience in facilities management, office services, workplace operations, or a related field.
  • Experience managing vendors, contractors, and service providers.
  • Strong customer service, communication, and relationship management skills.
  • Experience managing budgets, invoices, and operational expenses.
  • Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint. Experience with iOffice/Eptura and Adobe Acrobat is a plus.
  • Ability to prioritize multiple responsibilities and operate effectively in a fast-paced environment.
  • Ability to respond appropriately to workplace emergencies and operational issues

  • Ability to inspect facilities, access various work areas, and support workplace projects and office moves.
  • Ability to respond to workplace emergencies and assist with emergency preparedness activities when required.
  • Ability to operate standard office equipment, including computers, printers, mobile devices, and mailroom equipment.
  • Ability to work in both office and facility environments, including occasional exposure to equipment rooms, loading docks, and storage areas.

Salary Range : IL/MA/MD/NY Salary Range: $30.54 - $45.81
