As our business continues to experience impressive growth, we are now seeking a new HR Coordinator / Office Manager as a result of an internal promotion. This role, is a dual-role incorporating a variety of human resources and office management responsibilities. This role is responsible for performing HR-related duties on a professional level in the following HR functional areas: Onboarding new employees; and the organization of people-related documents with complete confidentially, and occasional ad-hoc reporting. The Office Manager component of this position is responsible for: Being the first point of contact in the office; remaining responsible for all front office activities; managing IT needs; handling large purchasing requests; and taking care of facilities and management of the building. Our ideal candidate will be a self-starter, who is just as comfortable working autonomously as within a team. This candidate should be corporate culture-focused, bringing enthusiasm to the office and offering up new ideas and programs. As our successful candidate, you will be expected to undertake the following responsibilities: - Ensure all new hire paperwork and employee files are compliant; communicate with new employees prior to hire and during onboarding process for all required documentation
- Work with the HR Generalist to schedule onboarding sessions for new hires and assist with new hire onboarding
- Maintain company org chart to ensure it is updated with new employees and open roles on a real time basis
- Ensure daily m ail retrieval and distribution – scanning documents to appropriate departments or vendors
- Work closely with HR Generalist on all adjoining matters
- Support the CEO with calendar management, expense tracking, and travel-related matters
- Function as assistant to the Chief People Officer with HR tasks and expense management; support other executive team members as needed
- Oversee office maintenance (i.e., enter tickets into the building management platform and ensure these are addressed in a timely and careful manner)
- Enter all new employees and guests into building security system; manage employee badges
- Ensure that the facility is clean and maintained according to company policy, procedures and COVID-19 regulations
- Restock & order office snacks, office supplies, etc.,
- Conduct and document regular facilities inspections
- Manage relationships with vendors and checks completed work by vendors and contractors
- Recommend maintenance, mechanical, electrical, and facility design modifications, as required
- P lan and execute employee recognition events such as weekly lunches, happy hours, all company events/parties, and assist with ordering team/client lunches
- Manage HR documents in company intranet
- Must be able to lift up to 25 pounds at a time.
