Position Summary:  

As the Office Manager of Puttshack's Home Office, you will oversee the daily operations and general administration of our office and teams. Acting as a brand ambassador and general point of contact for associates, vendors, and guests, this individual will exemplify our standards of exceptional Hospitality and uphold our Core Values to ensure a positive and productive environment. In this role, the Office Manager will work cross-functionally and have exposure to all departments, including our Executive team, to provide general administrative support, manage various projects and initiatives, ensure company-wide communications, and participate in team events.   

 

This is a Hybrid position, including 3 days onsite from our Home Office, located in Chicago (River North Neighborhood) 

 

Position Responsibilities may include, but not limited to:  

  • Maintain overall office and reception space, ensuring visitors/guests are greeted, mail is received and sent, and that all spaces are fully stocked, clean, and organized.  

  • Coordinate building maintenance activities, including cleaning services, security, building repairs, etc.  

  • Provide general administrative assistance to C-suite, such as coordinating travel, managing calendars, processing expenses, organizing meetings and taking meeting minutes, etc. 

  • Assist with the preparation of Executive meeting materials, including PowerPoint presentations, particularly for the Board of Directors.  

  • Work with leadership and other cross-functional teams on company-wide communications, including newsletters, office safety & weather alerts, town halls, etc.  

  • Work closely with HR and Training teams on new hire onboarding/offboarding processes & procedures, including updating Puttshack’s intranet information, managing security access, setting up or cleaning out desk space, maintaining org charts, etc .  

  • Serve as a primary point of contact for associates on office policies and procedures; ensuring adherence and compliance to corporate policies.  

  • Plan and coordinate company events, include Town Halls, Team building events, large group meetings, and all-hands gatherings, ensuring successful rollout of logistical and tactical operations. 

  • Assist with general operations and administrative duties, including partnering with outside counsel across licensing and other operations initiatives.   

  • Lead culture and engagement initiatives aimed at enhancing employee morale, such as office contests, recognition programs, philanthropic efforts, office décor and themes, etc.   

  • Ensure the strict confidentiality of all sensitive and proprietary information, adhering to company policies and legal regulations to secure sensitive information, prevent unauthorized access, etc.  

  • Other projects or duties as assigned.  

 

Required Skills and Experience:  

  • Minimum of 5 years’ experience in an administrative support role managing an office of 50+ employees, including at least 3 years’ experience directly supporting Executive team. 

  • Experience preparing materials and interacting with Board of Directors a plus.  

  • Demonstrated track record in effective facility management, event planning, and vendor relations. 

  • Excellent communication and interpersonal skills; ability to work well with colleagues and outside vendors, suppliers, property managers, landlords, brokers, and various service projects.  

  • Strong leadership skills and the ability to work independently with minimal direction from leadership. 

  • Ability to balance multiple priorities simultaneously and proactively manage projects to completion. 

  • Proficiency in systems such as MS Office Suite, Expense and Travel systems, Sharepoint, etc.  

  • Strong attention to detail and ability to be resourceful. 

  • Ability to travel off site on occasion to various locations to support business needs.  

  • This position must pass a post-offer background.  

 

Physical Requirements:  

  • Physical activities on a continuous basis, sit at desk for a long period of time; frequent use of telephone/video conferencing and write or use a keyboard to communicate through written means.  

  • Some walking and lifting, up to 25 lbs. may be required.  

  • The noise level in the work environment is typically low to moderate.  

  • The physical demands described above are representative of those that must be met by an employee to successfully perform the essential functions and responsibilities of this job.
