Supports HR generalist services by advising managers on employee relations, performance management, coaching, retention, and separations. Assists with policy administration, job description maintenance, performance reviews, documentation, employee inquiries, deadline tracking, and escalation of complex matters. Requires strong interpersonal, communication, confidentiality, conflict-resolution, and organizational skills, plus knowledge of employment regulations, Microsoft Office, and HRIS applications.

Manages litigation matter budgets, forecasts, financial reporting, databases, and project tracking. Analyzes costs and variances, identifies risks, recommends solutions, and coordinates with legal, billing, accounting, pricing, and client teams. Serves as the lead legal project management resource for key clients while driving AI-enabled innovation, process improvements, best practices, and strategic project initiatives.

Coordinates new business intake and engagement terms workflows, prepares engagement letters, reviews documents, tracks issues, and communicates with attorneys, staff, clients, and internal departments. Maintains centralized documentation, supports client analysis projects, organizes data, and escalates potential issues. The role requires strong organization, communication, legal or professional services experience, proficiency with office and document software, and availability for Pacific Time Zone hours.

Manage and execute client file transfers, retention, and disposition projects. Coordinate with attorneys, support staff, and vendors; maintain records databases; ensure compliance with transfer policies; assist with closing, termination, and special projects; serve as central contact for incoming/outgoing transfers and verify data integrity across systems.

Independently calculate, verify, and enter litigation deadlines using federal, state, agency, and local court rules. Support litigation teams, research procedural requirements, prepare docket reports, quality-review specialist work, assist with training, answer deadline inquiries, and improve docketing processes. The role requires strong judgment, accuracy, organization, communication, and the ability to work independently under strict deadlines in a remote-first environment.

Prepare and file U.S. patent prosecution documents, manage prosecution dockets and deadlines, obtain client instructions, track office actions and assignments, and accurately record billable time. The role requires strong organization, attention to detail, teamwork, and at least five years of U.S. patent prosecution experience. Foreign prosecution experience is a plus. The position requires meeting a 1,300-hour annual billing target and working in the office at least three days per month.
